Sub management for bands, orchestras, and choirs
Someone can't make the concert. Book a sub from your list for exactly the dates they'll miss, and ScoreOrder takes care of the rest: the attendance sheet, the member's record, and an email to the sub with everything they need to show up ready.
lakewobegon.scoreorder.app/cycles/winter-gala/peopleThe member is marked Covered, so a missed date with a sub never counts against them.
How it works · 6 movements
- 01
A sub list by section
Keep everyone you call in one list, with the sections they can cover and notes only staff can see. When a clarinetist is out, your clarinet subs are suggested first.
- 02
Book the dates, not the season
Pick who's out, or book an open chair, then choose the sub and tick the rehearsals and concerts they'll cover. Subs are never added to your roster, so attendance rates and exports stay about your members.
- 03
Attendance that stays fair
The member is marked Covered, which counts as excused, so missing a date with a sub lined up never counts against them. The sub shows on the attendance sheet for that date, with Present and No show.
- 04
Everything the sub needs
Give a sub portal access and they get an email and their own sign-in, with their dates, call times, locations, parts, and their seat on the chart. They never see the roster or other members, and their access ends two days after their last date.
- 05
They tell you if they can make it
Subs answer for each date in a tap, straight from the email. If one can't make it, whoever booked them hears about it right away, and Replace on the attendance sheet swaps in someone else.
- 06
Messages reach subs too
Messages to a cycle reach the subs covering it, unless you leave them out. Directors and section leaders can message a sub one-to-one, and the sub can write back.
Questions
Does a sub need an account?
No. You can book anyone by name alone. Portal access is optional and needs only an email address; the sub sets up a login from the welcome email.
Do subs count toward our roster or attendance rates?
No. Subs are never added to a cycle's roster, so they stay out of rosters, attendance rates, dues, and exports. The member they cover is marked Covered, which counts as excused.
Can the member see who is covering them?
Yes. Their attendance shows who covered each date, and you can send them a short email saying who is covering and when.
What about someone who subs all the time?
They stay on your sub list with their sections and notes, and a returning sub signs in with the same login. If they join for good, Make a member turns them into a full member.
